The Risk Management Coordinator reports to the Director of Risk Management and serves as the frontline representative for Risk Management across Philadelphia FIGHT's Community Health Center locations. The ideal candidate will be interested in boots-on-the-ground work in identifying and remedying error and patient safety events, using well-developed skill sets in data analysis, administrative support, and project coordination and management. This position performs both reactive remediation and proactive risk mitigation tasks, along with improving capacity for and regularity of emergency preparedness activities.

About the Role:

  • Schedule: Monday - Friday (9:00 - 5:00PM ); Full-time/ hybrid once per week.
  • Location: 1233 Locust Street, Floor 3, Philadelphia, PA 19107
  • Environment: Federally Qualified Health Center (FQHC); Largely administrative offices and various clinical spaces. Moderate noise levels (i.e. printers, light traffic).
  • Physical Requirements: Minimal walking between various site locations. May need to stoop, bend, or crouch in daily responsibilities. Can lift up to 25 Ibs.
  • Compensation & Benefits:
    • FSLA status is non-exempt with annual salary range of $45,000 to $65,000

About Yourself:

  • Bachelor's degree from a four-year college or accredited university; or one to two years related experience; or a combination of education and experience is required.
  • Experience working in a medical environment such as a doctor's office or medical research institution is preferred. Work experience in risk management is not needed to be successful in this role.
  • Excellent project, program coordination or management experience, with proven experience bringing complex projects to close.
  • Familiarity with high-reliability, high-urgency health initiatives, such as in public health and disease containment, particularly around pandemics or outbreaks (as in RSV, COVID, and Mpox in recent years).
  • Experience working with large data sets or volumes of PHI, such as in QI or clinical informatics.
  • Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
  • Ability to work with strict confidentiality or a high level of discretion when necessary.

Core Responsibilities:

  • Compiles and analyzes data for multiple risk management activities such as investigations, quarterly and high-risk assessments and senior management/board reports, through interviewing appropriate parties, reviewing electronic medical records data, etc.
  • Triages Risk Management investigations by acting as the initial responder, collecting and reviewing information, creating floor plan diagrams, removing expired items, as needed.
  • Creates engaging, legible reports, including written summaries, PowerPoint presentations and/or visual reports (charts/graphs) for a variety of audiences, ranging from staff to the Board of Directors, summarizing data rendered from Risk Management activities.
  • Creates documentation of risk activities required by funders and governing bodies, i.e. content required for medical malpractice coverage through FTCA.
  • Collaborates with clinical and administrative leadership to review the Safety & Compliance Dashboard in Philadelphia FIGHT's electronic medical record system on a regular basis; implements remedial action where necessary.
  • Develops tabletop activities and event simulations and prepares summary documentation as required by funders and oversight bodies for various risk management initiatives, including emergency preparedness.
  • Partners with leadership to conduct root cause analyses using the RCA2 process when highly consequential events arise.
  • In collaboration with the Director - Risk Management, maintains a calendar of risk-related projects; coordinates any relevant meetings or activities to ensure forward motion on such projects.
  • Schedules and observes various drills; translates findings into written reports.
  • Collects staff responses to regularly performed Hazard Vulnerability assessments and completing analysis.
  • Enters updates into relevant risk management tracking systems, i.e. our Risk Management ticketing system.
  • Schedules risk management meetings and records meeting minutes as required.
  • Assists department leaders with accessing patient records, as appropriate.
  • Creates and analyzes results of various surveys, including annual Patient Satisfaction Survey.
  • Collaborates with the QI/QA department for biannual chart review processes, including topic identification and working with Medical Directors to ensure provider completion of chart reviews
  • Collaborates with HR to ensure that the Emergency Alert Text Messaging system is regularly updated to reflect active employees.
